In-App Updates: Notes

In-App Updates are powerful tools to help you keep your investor base informed. The primary tools in Clockwork Universe are Announcements, Documents, Notes, and Emails.

Notes: What Are They and Why Use Them

Notes are a simple, in-app text and media posting tool within Clockwork Universe that is available to all User types. Use Notes to share quick, informal updates with your audience. Notes can be used for anything, but its purpose is most commonly aligned with the following scenarios:

Notes by Founder Users

Founders can post Notes to exchange ideas with other team members or selectively with other investors. Founders can also use Notes to log call minutes from particular investor calls.

Notes by Investor Users

Investor Users can benefit from Notes to log ideas, metrics, and other updated details from portfolio companies.

You may also add notes to an Investor User's Portfolios. The Note can serve as an internal team communication tool in this case.

Notes by Fund Manager Users

Fund Manager Users represent a hybrid of Founder User and Investor User, and fund Managers would leverage notes for any use cases mentioned above. A Fund Manager User could share a Note on its Fund profile page with internal team members or external LP investors. They could also navigate to other portfolio company profiles and store Notes from calls and emails. Finally, a Fund Manager can add a Note directly to an Invest or Track Portfolio.


How to Add a Note

  • Founder Users: on your company profile page.

  • Investor Users: any company profile page or portfolio page.

  • Fund Manager Users: fund profile page or portfolio page.

Click the Celeste AI (+) button in the bottom right-hand corner. Navigate to the Note tool and click on it.

The Note creation window looks as follows:

*The Note creation window looks nearly identical to the Announcement creation window. The core difference here is in the purpose of why you would use a Note versus an Announcement, in adherence to the namesake of the chosen tool itself.


Select Publishing Timing

Include a title for your Note, and then select a publish date. (by default, the system will use the date and time on which you are creating the note update).

When you're finished adding all of your content and media for the Note, click the Publish button in the top right-hand corner to publish the Note.


Add Text

Add the written content in the Description Section, as shown below. This will be the basis of your Note, and here you can highlight and transform the text.


Adding Media

Add media attachments to your Note in the Add Media section. Unlike Documents, Notes allow for the attachment of multiple files. To remove media, click the "X" in the upper righthand corner of the media asset, as shown below.


Set Post Sharing Permissions

In the top right corner of the editor window, you can adjust the sharing permissions of the Note post by clicking on the Share Settings button. You can change the access level of your group, as well as the Clockwork Universe Community or add new Lists, Groups or Users to share the note with them. Tag Your Post for Easier Filtering

You can add a tag to your post, such as "Phone Call" or "Portfolio Review," to easily filter the Notes and other posts on your profile once published. Type your tag name into the entry field provided and click the plus "+" button. You may add multiple tags and remove them as you wish.

*You can remove tags by clicking on the "x" button to the side of the tag


Drafts

If you leave an update before clicking "publish" (or accidentally click away), a draft will be automatically saved as long as the "Draft Saved!" banner shows up on the update settings bar.

You will be able to find and access your draft update on the Updates tab. Draft updates will be tagged accordingly and will only be visible to the creator of the draft.

By clicking on the draft update, you can access the update builder to continue working on it. If you wish to delete the draft update, simply click on the red trash icon next to the Share Settings button.


View Your Posted Note

A preview of your posted Note will appear as follows on your profile page.

Clicking the post will take you into a view of the complete Note, as shown below.

Here you can view the body text and media, the analytics tab, a log of changes, a list of Users and Groups to whom the Note has been shared, and tags attached to the post. Clicking on the Share Settings button will expand the access level details for the post.


Analytics

By clicking on the Analytics tab on the top of the note, you can see who has seen your update, as well as how many times the attachments have been downloaded and by which user. This allows you to have more control on who is looking and downloading your updates!


Log

Similar to the Analytics function, the Log allows you to see who has modified the update and when. This gives you a full history of changes to all of your updates so you always know who created the latest version!


Sharing your Update

Every update you create in the system will generate a unique URL address from which you can share it with other users. Click on the copy button on the Share Update section and send that link to anyone who you want to share the update with.


Edit Your Posted Note

To edit the Note, click on the Edit Update button in the upper-righthand corner to enter editing mode, as shown below:

While in editing mode, you will be able to edit content such as the title, body text, and post media. Some key restrictions apply to when you can edit this content. You have 48 hours from the posting time to make a change to your post if you've shared it with any external parties. After this grace period, the post's content is locked. We lock the content to preserve trust between parties and ensure that the updates or media within Clockwork Universe aren't later manipulated. This restriction only applies to Founders and Fund Managers.
